1. Create a Smartlead Account

  • Navigate to Smartlead

  • Create a Smartlead account with your work email.

2. Import Email Accounts

  • Navigate to Email Accounts to add Email accounts. These email accounts will be used to send emails to the prospects.

  • Click Add Email Account and follow the instructions based on your provider (Gmail, Outlook, etc.).

    ✅ Pro Tip: Use Gmail accounts to target Gmail addresses and Microsoft accounts to target Outlook/Hotmail addresses.

  • For bulk uploads, use the bulk import option.

3. Add Signature & Enable Warm-Up

  • Go to the email account you added → General Settings.

  • Add your Email Signature to boost authenticity and trust.

  • Then go to Warmup → Enable Warmup.

  • Adjust settings as needed to gradually build sender reputation and avoid the spam folder.

4. Create a Campaign & Import Leads

  • Head to Email Campaigns → click Create New Campaign.

  • Import your leads as a CSV file.

  • Set the Import settings.

  • During import, map the CSV fields to Smartlead fields.

    • Important: Map custom columns like {{First_Name}}, {{Company_Name}}, {{Potential_Customer}} to Map Fields for dynamic content in your emails.

5. Write Email Sequences, Variations & Follow-ups

  • Write the email copy for the offer you're providing. In this case, we used the following copy:

Subject: Prospect List for {{Company Name}}
Hey {{First_Name}},  

We can provide a list of {{Potential_Customer}}. I thought it might be useful for your outreach.

Let me know and I’ll send the leads your way

  • Now, use ChatGPT or any spintax tool to convert the message into multiple spintax versions.

  • Spintax boosts email variety to avoid spam and improve personalization.

  • Paste the spintax subject and body in Smartlead.

  • Click “Add Variant” to create email variants with different email copy or at the very least, different spintax.

  • Variants improve deliverability and reduce the chance of being flagged as spam.

  • Now click on “Add Steps” → “Email” to add follow-ups.

  • Follow-ups increase reply rates by reminding leads, addressing objections, and keeping conversations active—thereby boosting your chances of conversion.

  • Select the delay for the follow-ups and add the email copy using spintax.

  • You may add a subject if you wish, but we recommend leaving it empty to keep the message within the same email thread.

  • Use the preview to check if everything is okay or not. If okay, click Save & Next

6. Schedule, Sender Accounts & Advanced Settings

  • Choose the Sender Accounts (use only those warmed up for at least 10 days).

  • Set campaign Schedule and also set a number for “Max Number Of New Leads Reached Per Day Per Campaign”

  • Go to Campaign settings and follow our given settings, or you may do as you prefer.

  • Don’t forget to enable “Intelligent AI Lead Categorisation” to categorize your email response by AI.

  • When everything is set, run the Campaign.

7. Unified Inbox

  • Access all campaign replies from the Unified Inbox.

  • Replies are AI-categorized for easy response tracking and management.
